ENRF4200 - Maintain Student Activity Allocation

Purpose

The purpose of this function is to enable staff to perform Activity Allocations on behalf of students.

Maintain Student Activity Allocation

The purpose of this function is to enable staff to perform Activity Allocation on behalf of students. For example, this can be due to students not being able to allocate themselves to Activity Offerings, or staff wanting to change existing Allocations to Activity Offerings.

This function will enable staff to perform the following within the context of a Unit Offering Option Activity:

  • Allocate an individual student to an Activity Offering,
  • Remove an individual student from an Activity Offering,
  • Transfer an individual student from an allocated Activity Offering to another Activity Offering,
  • Allocate a group of students to an Activity Offering,
  • Remove a group of students from an Activity Offering, and
  • Transfer a group of students from an allocated Activity Offering to another Activity Offering.

A staff member has the authority to perform these overrides:

  • The allocation of a student to an Activity Offering, that will result in the Activity Offering Real Limit to be exceeded (i.e. overload the Activity Offering),
  • The removal of a student from an allocated Mandatory non-repeating Activity Offering,
  • The allocation of a student to an Activity Offering, that will result in an activity clash for the student,
  • The allocation of a student to an Activity Offering that is not defined for their Enrolled Unit Offering Option, but is defined for another Offering Option (class or location) associated with their Unit Offering Pattern.

 

The Unit Offering Option block contains:

  • Unit Code
  • Version
  • Academic Period
  • Teaching Period
  • Location
  • Unit Class
  • Sector

The Activity block contains:

  • Activity Code
  • Activity Type
  • Description
  • Mandatory check box

Activity Offering Selection 1 block contains:

  • Select check box
  • Real Limit
  • Published Limit
  • Actual Places

Activity Offering Selection 2 block contains the same as above.

Rules/Notes:

 

To allocate a student:
  • Enter Unit Code, and Teaching Period. You can either enter the Teaching Period manually or select it from the LOV
  • To refine the list of Activity Offerings, click the Include Other Activity Offerings button
  • Select the desired Activity Offering Record in the Activity Offering Selection 1 block, by ticking the corresponding check box
  • Select the Activity Offering Record in the Selection 2 block, that you want the Students from the Activity Offering Record selected in the Selection 1 block to be moved to
  • Click the Move button to move the selected students from one block to another
  • If you want to override any of the preset limits, click the Override button
  • Select the students to be moved, by ticking the corresponding check box, and click the appropriate Move Arrow button
  • Click Back to return to the original ENRF4200 screen

Rules/Notes:

Cannot retrieve records while Unit Code or Teaching Period is blank.

Activity Offering selections 1 and 2 cannot be the same.

Can only select all locations OR a specific location.

Can only select all classes OR a specific class OR a specific mode.

At least one student must be selected before the transfer process is activated.

Staff can not select an Activity Offering that is associated with a group.

Must have one Activity Offering or unallocated students selected for each Activity Offering Selection.
