ENRF01J0 - Maintain Person Note Types

Purpose

To allow the creation and maintenance of the Types of Notes which may be associated with a Person Record

Information relating to each person recorded on the database can be supplemented by adding Notes to their personal details record. Using the Note Types specified in this form enables these Notes to be grouped according to like characteristics.

For example, Note Types PRIZES or DISCIPLINE could be set up using this form. A Note about a student could be assigned to one of these Note Types. It would then be possible to include in a report only the Notes about prizes awarded to the student, or about disciplinary matters relating to the student.

 

The Person Note Type block contains:

  • Person Note Type
  • Description
 

To create a new Note Type using the Maintain Person Note Type form:

  • Enter Insert mode
  • Enter the desired name (or code) of the Note Type in the Person Note Type field of a blank record
  • Enter a meaningful description for the Note Type in the Description field
  • Save

 

To modify a Note Type using the Maintain Person Note Type form:

  • Find the record to be modified
  • Modify the record as required
  • Save

Rules/Notes:

If a Note Type has been used in the Definition of a Note, only the Description can be modified. This is not recommended unless the change in Description is minor and does not affect its meaning. It is normally preferable to create a new Note Type.

To delete a Note Type using the Maintain Person Note Type form:

  • Find the record to be deleted
  • Locate the cursor in the record to be deleted
  • Delete record
  • Save

Rules/Notes:

It is unlikely that Note Types will need to be deleted. If a Note Type has been used in the Definition of a Note, it cannot be deleted.
