ENRF0130 - Maintain Language Codes

This form is used to record and maintain the institution defined set of Language Codes. These are comparable to Government Language Codes (DEST element 348) specified in the Data Dictionary of the DEST Manual, but provide for greater flexibility with the ability to subdivide Government Codes and to use more meaningful codes. Each institution defined Language Code must be mapped to a Government Language Code. Language Codes are used in the Maintain Person Statistical Details form (ENRF3060).

For example, the Government Language Code for Australian Indigenous Languages is 8000. This function permits the definition of an institution defined code which will map to 8000, for example, ABORIGINAL, or for the creation of numerous codes representing the different indigenous languages, all of which would map to 8000.

 

The Language Code block contains:

  • Language Code
  • Description
  • Government Language Code
  • Closed check box
  • Effective Start Submission Year
  • Effective End Submission Year
  • Comments
  • Explanation

 

  To create a new Language Code record using the Maintain Language Codes form:
  • Enter Insert mode
  • Enter the new Language Code in the Language Code field of a blank record
  • Enter the corresponding description for the Language Code in the Description field
  • Select the Government Language Code to which the new Language Code maps from the list of values (or key a valid value) in the Govt Language Code field
  • Select the Effective Start Submission Year from the list of values
  • Select the Effective End Submission Year from the list of values
  • Enter any other information regarding this Language Code in the Notes field
  • Save
   

Rules/Notes:

The Language Code field is sorted alphanumerically. Where numeric values are used the values may not display in strict numeric order. For example, the following sort order would apply to these sample values - 11, 101, 1102, 12, 13, 1301, ...

The Effective Start Submission Year can not be greater than the Effective End Submission Year.

To modify a Language Code record using the Maintain Language Codes form:
  • Find the record to be modified
  • Modify the record as required
  • Save

Rules/Notes:

A Language Code should only be modified where the change is to correct an incorrectly entered description.

To delete a Language Code record using the Maintain Language Codes form:

  • Find the record to be deleted
  • Locate the cursor in the record to be deleted
  • Delete record
  • Save

Rules/Notes:

If a Language Code has been assigned to a Student Enrolment, it cannot be deleted. It can be closed, preventing any further use, by selecting the Closed check box.

A closed Government Language Code will display in the LOV of a closed Language Code to which it was mapped prior to closure.
