ADMF3518 - Maintain Admission Test Results

The Admission Test Results can either be recorded in context of a Person or in context of an Admission Course Application. What the user is able to record depends on how the form is accessed.

This form can be entered in context via the Admission Test button (bottom block) in the Direct Admissions Course form (ADMF3240), ADMF3000 or accessed directly through the main menu.

In Context of ADMF3240

  • When entering the form in Context of ADMF3240 the 'Admission Course Application' (ACA) context block is displayed. The Person context block is hidden
  • The Admission Test Type LOV lists only the open Test Types that have the ACA Context check box set to ‘Y’
  • The pop list 'Test Type Level' is displayed while in context of ADMF3240. Based on the selection of the value in this pop list, the Test Results are re-queried to get the appropriate result set. The three possible values for the pop-list are:
    • 'ACA Test Types' (the default value),
    • 'All Test Types' and
    • 'Person Test Types'
  • To distinguish between the different types of Test Results (for example, ACA level and Person level), an image (similar to Find Person button image) is displayed against all Person level Admission Test Results
  • The Person level Test Results displayed while in context of ADMF3240 are read only. They can not be created, modified or deleted.

From the Menu

  • When entering the form from the Menu the 'Admission Course Application' context block is displayed. The Person context block is hidden
  • The Admission Test Type LOV lists all the open Test Types
  • A pop list 'Test Type Level' is displayed when entering from the Menu. Based on the selection of the value in this pop-list, the Test Results will be re-queried to get the appropriate result set. The three possible values for the pop-list are:
    • 'All Test Types' which also will be the default value,
    • 'ACA Test Types' and
    • 'Person Test Types'
  • To distinguish between the different types of Admission Test Results (for example, ACA level and Person level) an image (similar to Find Person button image) is displayed against all Person level Admission Test Results
  • In the form ADMF3518, these fields are display only
  • Both ACA and Person Level Test Results may be inserted, modified or deleted

In Context of ADMF3000

  • Only Person Level Test Results may be inserted, modified or deleted
  • When entering the form in Context of ADMF3000 the 'Person' context block is displayed. The Admission Course Application context block is hidden
  • Only Admission Test Types at the Person level are displayed. Admission Course Application Test Types for the Person are not displayed
  • The Admission Test Type LOV lists only the open Test Types that have the ACA Context check box set to ‘N’

Admission Tests may include tests for a particular course or language tests for International Applicants. For example, the University Medicine Admission Test (UMAT).

Admission Test Types are set up in ADMF02Z0.

 

In Context of ADMF3240 and when called from the main menu:

The Admission Course Application block contains:

  • Person ID
  • Sex
  • Date Of Birth
  • Application Number
  • Commencement Period
  • Admission Process Category
  • Nominated Course Code
  • Title

The Person/Admission Course Application Test Results block contains:

  • Test Type Level (Pop List)
  • Test Type (LOV)
  • Date Planned
  • Date Achieved
  • Score
  • Grade
  • Result
  • Person Level Test Results image (can only be displayed for Person Level Test Results)

Rules/Notes:

The Validations are:

  • The Admission Test Result cannot be given a closed Verification Status
  • The Admission Test Sub-Score cannot be created using a closed Admission Test Sub-Score Type
  • The Expiry Date (Details Tab) cannot be set unless a Date Achieved is also set
  • The Expiry Date cannot be earlier than the Date Achieved
  • Date Planned, Date Achieved or Completed check box must be set
  • The Date Planned can only be entered when the Completed check box is set to 'N'
  • The Date Planned can only be entered when the Date Achieved is null
  • The Date Achieved can only be entered if the Completed check box is set to 'N'
  • A warning is displayed if the Date Planned or Date Achieved and Admission Test Type are the same for more than one record
  • The business rule that enforces the recording of a Score, Grade or Result Type, is only enforced if the Result Required check box is set for the Admission Test Type in ADMF02Z0

If a user tries to create, modify or delete a record, a message 'Person level Test Results cannot be created, modified or deleted from here' is displayed.

The block title for Admission Course Application Test Result is dynamically changed to 'Person / Admission Course Application Test Results'.

In Context of ADMF3000:

The Person block contains:

  • Person ID
  • Sex
  • Date Of Birth

The Person Test Results block contains:

  • Test Type (LOV)
  • Date Planned
  • Date Achieved
  • Score
  • Grade
  • Result

Rules/Notes:

The block title for Admission Course Application Test Result is dynamically changed to 'Person Test Result'.

To record test details:

  • Select a Test Type from the LOV or enter a known Test Type. Test Types are maintained in the Maintain Admission Test Type form (ADMF02Z0).
  • Record the Date Achieved.
  • Record at least one of Score, Grade or Result.
  • Where the test has multiple parts, individual sections and scores can be recorded by:
    • Selecting the Sub-Scores Tab
    • Recording the Sub-Score Type, Description and Score
    • Using the Details/Comments Tabs for further information.

Rules/Notes:

A score, grade or result must be recorded for each special Admission Test.

The Expiry Date can either be set automatically, based on the Date Achieved and Test Type expiry period, or it can be manually entered. When the date is automatically derived it may be manually overridden.

If the Expiry Date is not set then the results are assumed to always be valid. The Expiry Period, from which the Expiry Date is derived, is defined in ADMF02Z0.

The Sub-Scores Type functionality allows an institution to defined their own list of values. The number are unlimited and the scroll bar allows access to values not shown.

Specific types of Sub-Scores can be recorded against individual Admission Test Types. These Sub-Score Types are defined in ADMF02Z0

When the Capture Audit check box for the Verification Status has been set in ADMF0360, the Verification Status Audit detail fields are populated.

When the Capture Audit check box for the Verification Status is not set in ADMF0360, the Verification Status Audit detail fields are greyed out.
