Purpose

To allow the allocation of Admission Letters and their associated templates to an Admission Process Category. In particular, to record an outcome and an acknowledgment letter for each Admission Process Category

Admission Process Category System Letters are items of correspondence that are assigned to the Admission Process Category. If the Admission Process Category includes the step for the creation of acknowledgment and outcome letters, then the item of correspondence is required to be mapped to the Admission Process Category. System letters are defined by the Admissions specialist for each Admission Category via CORF2520. The System letter determines the data to be extracted from Callista and the template to be used. The information provided here and for related forms is for a 'typical' setup.

Allocation of System letters to the Admission Process Category

Typically, System letters for acknowledgment and outcomes, and general Admission letters, have been defined by the admission specialist using CORF2520. Each system letter is then allocated to the Admission Process Categories that are appropriate for this template. For example, 'International' acknowledgment and outcome letters can be defined and would be allocated only to the appropriate international Admission Process Categories.

The Admission Process Category block contains:

• Admission Category
• System Admission Process Type
• Admission Method Type

The Admission Process Category Letter block contains:

• Correspondence Type
• Letter Ref. Number
• Description

Rules/Notes:

The Admission Method Type field caterers for the change to Admission Process Category. This enables Admission Letters to be defined for each Admission Category/System Admission Process Type/Admission Method Type combination. For example, for a given Admission Category/System Admission Process Type, there may be different Correspondence requirements for ADMIN and WEB Admission Method Types.

Use this form to assign the appropriate System Letter (see CORF2520) to an Admission Process Category.

Select from the LOV, the appropriate System letters for the Admission Process Category.

Rules/Notes:

Only one letter of a particular Correspondence Type can be allocated to any one Admission Process Category.

The System Letter determines the appropriate template that is required for the Admission Process Category.

Failing to allocate the appropriate Correspondence Type to the Admission Process Category will result in an error when producing a letter, either through ADMF3900 or the Batch Letter Process.
